As part of it’s move to streamline infringement management processes for councils, Billing Bureau’s latest release of GenexIMS includes automated collation of documentation for court applications.

When infringement recipients fail to pay outstanding fines or elect to go to court, the process of compiling all of the necessary history and evidence – often from multiple sources – is a time consuming task for compliance staff.

GenexIMS now enables this process to occur automatically – initiated either by the compliance officer or automatically at the relevant time once certain business criteria are met.
The court packs are compiled based on standard court documentation templates, which can be amended as required by compliance officers after the documents are generated, via editable PDFs. Supporting evidence including photography taken at the time of the offence, all previous infringement notices, reminder notices, and communications history forms part of the suite of documentation.

“Manually compiling all of the documents and information required for court lodgement was a really laborious and time consuming process before” explains Charlene, Compliance officer at Hobsons Bay City Council. “Having everything collated automatically is amazing – it’s at least halved the time I spend compiling information for court. Now I simply review and approve details in the pre-populated forms, and all of the history and evidence is automatically included in a ZIP file ready to submit – it’s had such a big impact to my workload.”
